OutFest Check-In Instructions

Please check in at Pride Central (12th & Locust Sts) between 8:30am & 10:30am. We will not be ready to check you in before 8:30am.

 

  • If you are arriving with a truck/RV to unload or it is part of your display, you must arrive between 8:30 & 9am. If you are arriving with a car, arrive before 9:30am.  You won’t be allowed to bring a vehicle in the OutFest area after 10:30am.
  • RAIN or SHINE! Sorry, No Rain Date!  OutFest will only be canceled if it has been raining all through the night and it is raining at set up time and the forecast calls for continuous rain throughout the day.  OutFest will not be canceled if there is a brief shower or two.
  • If you are arriving with a vehicle, place the “OutFest Official Participant Mirror Hanger” on your rearview mirror. This will allow you in behind the barricades.  After you have checked in, please write your spot # on mirror hanger card and hang on mirror. Once you have unloaded, you must move your vehicle (no vehicles on street after 11am). You will be allowed to park in the designated areas we have for parking.  We do not provide more than one parking space.  You must have the Official Participant Mirror Hanger on your mirror at all times.  You will not be able to unload or park unless it is on your mirror with your spot number on it.
  • Vendors will not be allowed to keep their vehicles next to their table space during the event.
  • Everyone is given an assigned space! We will not move anyone unhappy with their spot until after 11:30am.
  • If you paid a security deposit, your registration comes with one table & one chair. If you would like to rent extra tables or chairs, (tables $10, chairs $5) you may when you check in.  We do not accept payments to rent extra chairs or tables in advance.
  • If you checked off on your application that you are bringing your own table/chair, we did not order any for you.
  • All tables and tents are to be set up against the curb in the street. No one should be set up on the pavement.  All vendors are assigned spots on the same side of the street to help keep the walking traffic from being congested, not creating a vendor maze, and to make sure there is enough space that an emergency vehicle can drive thru.
  • If you are renting a table or chair, a security deposit is required ($25). If you didn’t send one in with your registration, you will have to leave one at check-in.  At the end of event when the table/chair is returned, we will mail it to you before the end of October.
  • New for this year is a food court area located at 12th & Spruce Streets (food trucks, food booths)
  • Restrooms are at the William Way LGBT Center, local bars. There is a Portable Toilet on each street.
  • Emergency Medical Service will be on location.
  • Each Street has a Street Coordinator (Philly Pride Board of Director) who will greet you and be at your disposal throughout the day.
  • Please do not put stickers, decals and advertisements on poles or on any property!
  • YOU ARE NOT ALLOWED TO BRING YOUR OWN ALOCOHOL TO DRINK, SELL OR DISTRIBUTE!!!
  • You are not allowed to do massages!
  • You are not allowed to sell, give away, or distribute food/beverage unless you are registered as a food vendor.
  • Please returned all tables and chairs to Pride Central at end of event (6pm). We will only return deposits when tables and chairs are returned to our rental directors.  We will not return a security deposit if table/chair was left on the street.  We will not return your deposit if you leave before 6pm.  Rental Directors and the Registration Chair will not be available until 6pm.
  • Philly Pride reserves the right to prohibit vendors from displaying any signs, articles or products that, in our sole opinion, are not in keeping with the nature and character of the Block Party.
  • Please bag your trash and ask your Street Coordinator where you can take it.
  • All food vendors must take grease, oil, and food refuse with you.
  • Please do not call the office on Sunday October 9th during OutFest. We are on location at 12th & Locust.  If you have Franny’s cell number, do not call her. She won’t hear you with all the outside noise and her phone is reserved for emergencies.
  • If there are protestors, please ignore them. Philly Pride Security Coordinator & Police will make sure they do not block your booth.
